a. Cancellation Window: To ensure efficient scheduling and accommodate other patients, we kindly request that you notify us of any appointment cancellations at least 24 hours in advance.

b. Cancellation Methods: You can cancel your appointment by calling our clinic on 0805 516 2585 or using the online appointment management system.

2. Late Cancellations

a. Late Cancellation: Appointments canceled within 24 hours of the scheduled time are considered late cancellations.

b. Late Cancellation Fee: A late cancellation fee equivalent to 20% of the total payable cost may be charged for appointments canceled within the specified time frame. This fee covers the inconvenience and potential loss of appointment availability for other patients.

3. No-Show Policy

a. No-Show Definition: If you fail to arrive for your scheduled appointment without prior notice, it is considered a no-show.

b. No-Show Fee: A no-show fee equivalent to 30% of the total payable cost may be applied to your account. This fee accounts for the time reserved for your appointment and the opportunity cost of serving other patients.

4. Extenuating Circumstances

a. Exceptions: We understand that unforeseen circumstances may arise, preventing you from attending your appointment. If you experience extenuating circumstances, please contact us as soon as possible to discuss your situation.

b. Documentation: In cases of extenuating circumstances, we may request relevant documentation to validate your situation.

5. Repeated Cancellations and No-Shows

a. Repeated Offenses: Frequent late cancellations or no-shows may lead to restrictions on future appointment scheduling.

6. Refunds for Cancellations

a. Refund Eligibility: Depending on the timing of your cancellation and our refund policy, you may be eligible for a refund of any prepaid fees.

b. Refund Process: Refunds for cancellations will be processed as per our Payments and Refunds Policy.

7. Rescheduling

a. Rescheduling Policy: If you wish to reschedule your appointment, we encourage you to do so within a reasonable time frame to allow us to accommodate your needs and other patients.
